Everything you need to know about using PryceScan to track competitor prices and optimise your pricing strategy.

Getting Started

Creating your account

Visit app.prycescan.com and click Start Free. Sign up with your email address or continue with Google. You will receive a verification email - click the link to activate your account.

First login and onboarding

After signing in for the first time, you will be guided through a short onboarding wizard. This helps PryceScan understand your business so it can tailor the experience. You can skip individual steps and return to them later in Settings.

Organisation settings

Navigate to Settings > Organisation to configure your company name, default currency, and time zone. These settings affect how prices are displayed and when scheduled scans run. Every user in your organisation shares the same product catalogue and competitor data.

Tip: Set your time zone first - it determines when daily price scans are scheduled and when alert emails are delivered.

Products

Adding products manually

Go to Products > Add Product. Enter the product name, SKU, and GTIN (barcode). The GTIN is used to match your product with competitor listings. If you do not have a GTIN, PryceScan will attempt to match by product name.

CSV import

To add products in bulk, go to Products > Import and upload a CSV file. Your CSV should include columns for product name, SKU, GTIN, current price, and optionally brand and category. Download the template CSV from the import page to ensure the correct format.

ERP integration

PryceScan can sync products directly from your ERP or e-commerce platform. Go to Settings > Integrations to configure your webhook connector. Products will sync automatically on a schedule you define.

Editing products

Click any product in the product grid to open the detail view. From here you can update the name, SKU, GTIN, brand, category, and current price. Changes are saved immediately.

GTIN and SKU matching

PryceScan uses GTIN (EAN/UPC) barcodes as the primary method for identifying the same product across different retailers. When a GTIN is not available, the system falls back to name-based matching. Accurate GTINs produce the best competitor matching results.

Product grid

The product grid displays all tracked products with sortable columns including name, SKU, your price, SmartPrice, competitor count, and price position. Use the search bar and filters to narrow down the view by brand, category, or price position.

Competitors

How competitors are discovered

When you add a product, PryceScan automatically scans Google Shopping and other public price comparison sources to find retailers selling the same item. Competitors are identified by matching your product GTIN against publicly listed offers.

Managing your competitor list

Navigate to Competitors to see every retailer PryceScan has discovered. Each competitor shows their domain, how many of your products they stock, and their average price position relative to yours.

Including and excluding competitors

Not all competitors are relevant. You can exclude specific retailers so their prices are not factored into SmartPrice calculations or pricing rules. Excluded competitors still appear in your data for reference, but are marked as excluded and ignored in calculations.

International seller filtering

PryceScan can detect sellers that ship from overseas or operate as grey market importers. Enable international seller filtering in Settings > Competitors > International Sellers to automatically exclude these from your pricing calculations. This is particularly useful for Australian and New Zealand retailers competing against international drop-shippers.

Tip: Review your competitor list regularly. Excluding irrelevant or grey market sellers improves the accuracy of your SmartPrice recommendations.

Pricing Rules

Creating a rule

Go to Rules > Create Rule. Give your rule a name and define which products it applies to - you can target all products, a specific brand, a category, or individual SKUs.

Position strategies

Each rule uses a position strategy that determines how your price relates to competitors:

  • Cheapest - Match or beat the lowest competitor price.
  • Average - Price at the average of all included competitors.
  • Most Expensive - Match the highest competitor price (useful for premium positioning).

Offsets

Add a percentage or dollar offset to fine-tune your position. For example, "Cheapest minus 5%" means your price will be 5% below the cheapest competitor. Offsets can be positive (price above the position) or negative (price below).

Minimum and maximum bounds

Set floor and ceiling prices to protect margins. The minimum bound prevents SmartPrice from recommending a price below your cost. The maximum bound caps the price to keep it competitive. Bounds can be set as absolute values or as percentages of your cost price.

Rule priority

When multiple rules apply to the same product, priority determines which one wins. Rules with a higher priority number take precedence. You can drag and drop rules to reorder them on the Rules page.

Multi-rule mode

Advanced plans support multi-rule mode, where multiple rules can be evaluated together. In this mode, PryceScan can blend rule outputs - for example, using one rule for weekday pricing and another for weekend pricing.

Tip: Start with a simple rule targeting all products, then create more specific rules for high-value brands or categories. Specific rules with higher priority will override the general rule.

SmartPrice

What is SmartPrice?

SmartPrice is PryceScan's recommended optimal price for each product. It is calculated by applying your pricing rules to the latest competitor data. SmartPrice takes into account your position strategy, offsets, and min/max bounds to produce a price that achieves your competitive goals while protecting your margins.

How SmartPrice is calculated

Each time new competitor data is collected, PryceScan recalculates the SmartPrice for every product with an active pricing rule. The calculation follows these steps:

  1. Gather current prices from all included competitors for the product.
  2. Apply the position strategy (cheapest, average, or most expensive).
  3. Apply any percentage or dollar offset.
  4. Enforce minimum and maximum bounds to protect margins.
  5. Round to your configured rounding rules (e.g., round to nearest .99).

Reviewing recommendations

View SmartPrice recommendations on the Products page. The SmartPrice column shows the recommended price alongside your current price. Products where the SmartPrice differs from your current price are highlighted so you can quickly identify repricing opportunities.

Applying SmartPrice

You can apply SmartPrice recommendations individually or in bulk. Select the products you want to reprice and click Apply SmartPrice. If you have an ERP integration configured, updated prices can be pushed directly to your e-commerce platform.

Dashboards

Default dashboard

Every account comes with a default dashboard that provides an at-a-glance overview of your competitive position. It includes key metrics such as total tracked products, price position distribution, SmartPrice coverage, and recent price changes.

Analytics

The Analytics page provides detailed insights across six tabs: Price Trends, Position, Margins, Strategy, Top Movers, and Activity. Use the global filter bar to narrow by brand, category, or status. Filters persist across all tabs.

Saved views

Save your current filter configuration as a named view for quick access later. Click Save view in the filter bar, give it a name, and it appears as a one-click button below the filters. Saved views are shared across your organisation.

CSV export

Every analytics tab includes a CSV button to export the current data. Exports respect your active filters so you get exactly the data you need.

Alerts

Setting up price alerts

Navigate to Alerts > Create Alert. Choose the trigger condition - for example, "competitor price drops below mine" or "new competitor found for a product". Select which products or categories the alert applies to.

Notification rules

Each alert can be configured with notification rules that control when and how you are notified. Options include immediate notification, daily digest, or weekly summary. You can also set thresholds - for example, only alert when the price difference exceeds a certain percentage.

Email alerts

Alert notifications are delivered by email to the team members you specify. Each alert rule can have its own list of recipients. Go to Alerts > Notification Settings to manage email preferences and ensure the right people are informed about competitive price changes.

Tip: Start with a broad alert for any competitor price drop, then create more targeted alerts for your highest-margin products or most competitive categories.

Team

Inviting members

Go to Settings > Team and click Invite Member. Enter the team member's email address and assign a role. They will receive an invitation email with a link to join your organisation.

Roles

PryceScan supports three roles:

  • Admin - Full access to all features including billing, team management, API keys, and organisation settings.
  • Manager - Can manage products, rules, competitors, and alerts. Cannot access billing or organisation settings.
  • Viewer - Read-only access to dashboards, products, and competitor data. Cannot create or edit rules.

Removing members

To remove a team member, go to Settings > Team, find the member, and click Remove. Their access is revoked immediately. Any rules or alerts they created will remain active.

Billing

Plans overview

PryceScan offers five plans: Free, Basic, Pro, Advanced, and Enterprise. Each plan includes different product limits, feature access, and support levels. Visit the Pricing page for a detailed comparison.

Upgrading and downgrading

Upgrade at any time from Settings > Billing. Upgrades take effect immediately and charges are prorated. Downgrades take effect at the end of your current billing period. If your usage exceeds the new plan's limits, you will need to reduce your product count before the downgrade can be processed.

Payment methods

Payment is processed securely through Stripe. We accept all major credit cards. You can update your payment method at any time from Settings > Billing > Manage Billing.

Invoices

Invoices are generated automatically at the start of each billing period and sent to the billing email on your account. You can download past invoices from the Stripe billing portal, accessible via Settings > Billing > Manage Billing.

Data Export

CSV export

Export your product and competitor data to CSV at any time. Go to Products or Competitors, apply any filters you need, and click Export CSV. The export includes all visible columns and respects your current filter and sort settings.

API access

Pro plans and above include API access for programmatic data retrieval. Use the API to pull product data, competitor prices, and SmartPrice recommendations into your own systems. See the Developer Portal for full API documentation.

Report generation

Generate on-demand reports from the Dashboards page. Click Export Report to download a PDF or CSV summary of your current dashboard view. Scheduled reports can be configured on Advanced and Enterprise plans, delivering automated reports to your inbox on a daily, weekly, or monthly basis.
